3. What personal data we collect
3.1 Contact form and email enquiries
When you contact us through the contact form, by email, by phone or via WhatsApp, we process the data you provide to us, in particular:
- name;
- email address;
- phone number (optional);
- subject and content of your message;
- any further information you voluntarily include (for example, details of a planned transport).
Communication via WhatsApp may involve processing of your data by Meta Platforms Ireland Limited under its own terms and privacy policy. If you prefer not to use WhatsApp, please contact us by email or phone.
3.2 Price calculator
The price calculator on our website processes only the inputs you make on the page — namely the selected vehicle category and the distance in kilometres. These inputs are used to display an indicative price.
We do not require you to enter any personal data in order to use the calculator. Calculator inputs are not linked to your identity by us.
3.3 Server log files
When you visit our website, our hosting provider automatically collects technical information that your browser transmits to our server, including:
- IP address (anonymised where technically possible);
- date and time of the request;
- pages visited and HTTP status;
- browser type, version and language;
- operating system;
- referring URL.
This data is necessary for the technical operation, security, and stability of the website.
3.4 Cookies and similar technologies
Our website uses cookies and similar technologies. A short description of the categories used:
- Strictly necessary cookies — required for the website to function (session management, security, language preference). These cannot be disabled.
- Functional cookies — remember your settings (such as language or dark / light mode).
- Third-party content (such as embedded maps or messaging widgets) — loaded only after you accept the corresponding category.
We currently do not use analytics, advertising or marketing cookies. Should we introduce such cookies in the future, we will update this Privacy Policy and obtain your consent in advance through the cookie banner on the website.
You can manage or withdraw your consent at any time via the cookie banner / settings on the website, or through your browser settings.
4. Purposes and legal bases of processing
We process your personal data on the following legal bases under Article 6(1) GDPR:
| Purpose | Legal basis |
|---|---|
| Responding to your contact form messages and quote requests | Art. 6(1)(b) GDPR (steps prior to entering a contract) and/or Art. 6(1)(f) GDPR (our legitimate interest in business communication) |
| Performance of a transport contract concluded with you | Art. 6(1)(b) GDPR |
| Operation, security and stability of the website (server logs) | Art. 6(1)(f) GDPR (legitimate interest in a secure and functioning website) |
| Strictly necessary cookies and similar technologies | Art. 6(1)(f) GDPR and § 25(2) TDDDG |
| Compliance with statutory retention obligations (tax, commercial law) | Art. 6(1)(c) GDPR |
| Establishment, exercise or defence of legal claims | Art. 6(1)(f) GDPR |
Where we rely on consent in the future (for example, if we introduce analytics cookies), you may withdraw it at any time with effect for the future, without affecting the lawfulness of processing carried out before withdrawal.
5. Recipients of personal data
We do not sell or rent your personal data. We may share it with the following categories of recipients, only as necessary:
- IT and hosting providers that operate our website and email infrastructure;
- Communication providers (for example, email and messaging services such as WhatsApp / Meta Platforms Ireland Limited);
- Tax advisors, auditors and lawyers under appropriate confidentiality obligations;
- Subcontracted carriers and logistics partners, where strictly necessary to perform the transport contract;
- Authorities, courts and regulators, where required by law.
External service providers acting as processors on our behalf are bound by a data processing agreement in accordance with Article 28 GDPR.
6. International data transfers
Where personal data is transferred outside the European Economic Area (EEA) — for example because a service provider is located in the United Kingdom or the United States — we ensure that an appropriate transfer mechanism is in place, in particular:
- an adequacy decision of the European Commission; or
- the EU Standard Contractual Clauses (SCCs) together with, where necessary, additional safeguards.
You may request a copy of the relevant safeguards by writing to kontakt@dld-transport.de.
7. Retention
We retain personal data only for as long as is necessary for the purposes for which it was collected, or as required by law:
- Contact form / email enquiries that do not lead to a contract — generally deleted within 6 months, unless a longer retention is justified;
- Transport-related documentation (contracts, invoices, CMR, delivery notes) — retained for the statutory periods under German tax and commercial law (generally 6 or 10 years);
- Server log files — usually retained for a short period (a few days to weeks) for security purposes and then deleted or anonymised;
- Cookies — for the period stated in the cookie banner / settings.
After expiry of the applicable retention period, data is deleted or anonymised.
8. Your rights
Under the GDPR, you have the following rights in relation to your personal data:
- Right of access (Art. 15 GDPR);

You also have the right to lodge a complaint with a data protection supervisory authority, in particular in the EU Member State of your habitual residence, place of work, or place of the alleged infringement. The competent authority for DLD Transport UG is:

9. Security
We use appropriate technical and organisational measures to protect your personal data against unauthorised access, accidental loss, alteration or disclosure, including TLS / SSL encryption for data in transit, access controls, and regular review of our security measures.
Access to personal data is limited to authorised personnel on a need-to-know basis, and our staff and processors are bound by appropriate confidentiality obligations.
No method of transmission over the internet is fully secure. You are responsible for keeping your own devices and credentials secure.
10. Automated decision-making
We do not use any automated decision-making, including profiling, that produces legal effects concerning you or similarly significantly affects you within the meaning of Article 22 GDPR.
The price calculator displays a purely indicative figure based on the inputs you provide and does not constitute an automated decision in this sense.
11. Children
Our website and our services are addressed to businesses and adult professional users. We do not knowingly collect personal data of persons under 16 years of age. If you believe that we have inadvertently collected such data, please contact us so that we can delete it.
12. Changes to this Privacy Policy
